Purpose
This workplace activity requires you to independently monitor and evaluate the execution of an operational schedule for a single supply chain component. You will assess adherence to deadlines, budgets and customer expectations, evaluate performance variances and recommend corrective actions.
Workplace Outcomes
You must be able to:
- Plan an independent monitoring and evaluation process.
- Interpret operational plans, schedules and performance objectives.
- Select valid performance measures.
- Monitor adherence to deadlines and budgets.
- Evaluate performance against customer expectations.
- Verify the reliability of performance information.
- Determine the causes and implications of variances.
- Recommend and monitor corrective actions.
- Compile an independent evaluation report.
1. Select a Supply Chain Component
Complete each evaluation for one of the following:
- Demand execution
- Transport and distribution
- Warehousing and facilities
- Production
- Procurement and supply
For each evaluation cycle, define:
- The operational component
- The operational activity
- The schedule being evaluated
- The evaluation period
- The expected outputs
- The performance targets
- The responsible employees
- The reporting deadline
2. Gather Evaluation Information
Obtain and review:
- The approved operational plan
- The operational schedule
- Performance objectives and targets
- The approved budget
- Progress and exception reports
- Customer orders and service requirements
- Contracts or service-level agreements
- Cost and expenditure records
- Quality reports
- Customer complaints and feedback
- Previous performance reports
- Relevant organisational policies
Confirm that the information is complete, current and authorised.
3. Develop the Evaluation Criteria
Establish objective criteria for assessing performance.
| Performance area | Measure | Target | Evidence source | Evaluation period |
|---|---|---|---|---|
| Deadlines | On-time completion rate | Organisational target | Schedule and completion records | Defined period |
| Budget | Budget variance | Approved tolerance | Budget and expenditure records | Defined period |
| Customer expectations | Service achievement | Contracted target | Orders and service records | Defined period |
Ensure that each criterion is:
- Relevant to the operational objective
- Clearly defined
- Measurable
- Supported by available evidence
- Consistent with organisational requirements
- Applied fairly throughout the evaluation
4. Monitor Adherence to Deadlines
Compare planned deadlines with actual completion records.
On-Time Completion Rate
On-time completion rate (%) = (Activities completed on time ÷ Activities due) × 100
Schedule Completion Rate
Schedule completion rate (%) = (Activities completed ÷ Activities scheduled) × 100
Time Variance
Time variance = Actual completion time − Scheduled completion time
Identify:
- Late activities
- Outstanding activities
- Activities completed ahead of schedule
- Recurring delays
- Dependencies affected
- Causes of missed deadlines
5. Monitor Adherence to the Budget
Compare actual expenditure with the approved budget.
Budget Variance
Budget variance = Actual expenditure − Budgeted expenditure
Budget Variance Percentage
Budget variance (%) = [(Actual expenditure − Budgeted expenditure) ÷ Budgeted expenditure] × 100
Evaluate:
- Overspending
- Underspending
- Unplanned expenditure
- Overtime costs
- Emergency purchasing
- Transport or fuel increases
- Waste and rework costs
- Approved budget changes
Confirm whether spending below budget represents efficiency or incomplete operational work.
6. Monitor Customer or Client Expectations
Compare actual service performance with the agreed requirements.
Consider:
- Delivery timeliness
- Delivery completeness
- Product or service quality
- Order accuracy
- Responsiveness
- Communication
- Complaint-resolution time
- Contract or service-level achievement
Customer-Service Achievement
Customer-service achievement (%) = (Customer requirements achieved ÷ Customer requirements measured) × 100
Complaint Resolution Rate
Complaint resolution rate (%) = (Complaints resolved within the required period ÷ Total complaints received) × 100
7. Verify the Performance Information
Independently confirm the reliability of the information by:
- Comparing source documents with reports
- Checking calculations
- Confirming dates, quantities and values
- Investigating missing records
- Comparing system information with physical evidence
- Consulting responsible employees
- Identifying inconsistencies or data-capture errors
- Recording any limitations affecting the evaluation
Do not draw conclusions from information that cannot be verified.
8. Evaluate Performance Variances
For every measure:
- Record the target.
- Record the actual result.
- Calculate the variance.
- Determine whether the result meets the target.
- Identify the cause.
- Assess the operational effect.
- Determine whether corrective action is required.
Classify each finding as:
- Satisfactory performance
- Minor variance
- Moderate variance
- Major variance
- Critical variance
9. Determine Causes and Implications
Use available evidence to distinguish between symptoms and root causes.
Possible causes include:
- Inaccurate planning
- Poor resource allocation
- Supplier delays
- Employee shortages
- Equipment breakdowns
- Inventory shortages
- Process noncompliance
- Inadequate communication
- Infrastructure disruption
- Unrealistic targets
- Incorrect performance data
Consider implications such as:
- Missed customer deadlines
- Increased operational costs
- Reduced service levels
- Stock shortages
- Production interruptions
- Contractual penalties
- Customer complaints
- Safety or compliance risks
- Damage to supplier or customer relationships
10. Recommend Corrective Actions
Develop corrective actions that address the verified cause of each significant variance.
Record:
| Finding | Root cause | Corrective action | Responsible person | Completion date | Success measure |
|---|
Corrective actions may include:
- Revising the schedule
- Reallocating resources
- Adjusting work priorities
- Improving supplier follow-up
- Correcting inaccurate records
- Arranging authorised additional capacity
- Improving customer communication
- Revising control procedures
- Providing employee guidance or training
- Escalating matters outside your authority
11. Monitor Corrective Actions
Follow up on agreed actions and record:
- Whether the action was implemented
- When it was completed
- Whether it corrected the variance
- Whether the performance target was achieved
- Whether additional action is required
- Any new risks created by the intervention
Do not close a corrective action without appropriate supporting evidence.
12. Compile the Independent Evaluation Report
Prepare a report containing:
- Evaluation purpose and scope
- Operational component evaluated
- Information and evidence used
- Performance measures and targets
- Deadline results
- Budget results
- Customer-service results
- Positive and negative variances
- Root causes and implications
- Corrective actions
- Follow-up results
- Outstanding risks and recommendations
Submit the report through the organisation’s approved reporting process.
13. Complete Five Evaluation Cycles
Complete the activity independently at least five times.
| Evaluation cycle | Supply chain component | Evaluation period | Evidence reference | Supervisor signature |
|---|---|---|---|---|
| 1 | ||||
| 2 | ||||
| 3 | ||||
| 4 | ||||
| 5 |
