Purpose

This workplace activity requires you to monitor the execution of operational activities under direct supervision. You will measure performance against deadlines, budgets and customer or client expectations and report your findings to the workplace supervisor.

Workplace Outcomes

You must be able to:

  • Interpret an operational plan and its related schedule.
  • Identify applicable performance measures and targets.
  • Gather reliable workplace performance information.
  • Monitor adherence to operational deadlines.
  • Monitor expenditure against the approved budget.
  • Monitor performance against customer expectations.
  • Identify and record performance variances.
  • Report findings accurately to the supervisor.
  • Maintain verifiable workplace evidence.

1. Select the Operational Activity

Complete the activity within one or more of the following areas:

  • Demand execution
  • Transport and distribution
  • Warehousing and facilities
  • Production
  • Procurement and supply

For each monitoring cycle, record:

  • The operational area
  • The activity being monitored
  • The monitoring period
  • The applicable schedule
  • The responsible employees
  • The supervising employee
  • The expected performance results

2. Obtain the Required Documents

Under your supervisor’s direction, obtain:

  • The approved operational plan
  • The relevant operational schedule
  • Performance targets
  • The approved budget
  • Customer orders or service requirements
  • Contracts or service-level agreements
  • Progress and exception reports
  • Expenditure records
  • Customer-service records
  • Organisational monitoring procedures

Confirm with your supervisor that you are using current and authorised information.

3. Prepare a Monitoring Plan

Record how the operational activity will be monitored.

Performance area Measure Target Information source Monitoring frequency Responsible person
Deadlines On-time completion Workplace target Operational schedule Daily Assigned employee
Budget Budget variance Approved limit Financial records Weekly Cost controller
Customer expectations Service achievement Agreed target Customer records Daily or weekly Customer-service employee

Obtain your supervisor’s approval before using the monitoring plan.

4. Monitor Adherence to Deadlines

Compare scheduled completion dates and times with actual results.

Check:

  • Activities completed on time
  • Activities completed late
  • Activities still outstanding
  • Causes of delays
  • Dependencies affected by delays
  • Corrective action already taken

On-Time Completion Rate

On-time completion rate (%) = (Activities completed on time ÷ Activities due) × 100

Schedule Variance

Schedule variance = Actual completion date or time − Scheduled completion date or time

Record the result, variance and supporting evidence.

5. Monitor Adherence to the Budget

Compare actual expenditure with the approved budget.

Review:

  • Labour costs
  • Overtime
  • Transport and fuel costs
  • Inventory or material costs
  • Supplier charges
  • Equipment costs
  • Emergency expenditure
  • Approved budget changes

Budget Variance

Budget variance = Actual expenditure − Budgeted expenditure

Budget Variance Percentage

Budget variance (%) = [(Actual expenditure − Budgeted expenditure) ÷ Budgeted expenditure] × 100

A positive result normally indicates overspending. A negative result normally indicates spending below budget.

Confirm that apparent savings did not result from incomplete work, reduced quality or delayed expenditure.

6. Monitor Customer or Client Expectations

Identify the agreed customer requirements, including:

  • Correct product or service
  • Required quantity
  • Delivery date and time
  • Delivery location
  • Quality standard
  • Accuracy
  • Responsiveness
  • Communication requirements
  • Complaint-resolution period

Compare actual performance with the agreed requirements.

Customer-Service Achievement

Customer-service achievement (%) = (Requirements achieved ÷ Requirements measured) × 100

Where available, also monitor:

  • Orders delivered in full
  • Orders delivered on time
  • Customer complaints
  • Returns
  • Service failures
  • Response and resolution times

7. Verify the Information

Before recording a finding:

  • Check the source document.
  • Confirm dates, quantities and values.
  • Compare information from different records.
  • Discuss unclear results with the supervisor.
  • Correct data-capture errors.
  • Retain evidence supporting the result.

Do not alter workplace records without authorisation.

8. Identify Performance Variances

For each measure, record:

Measure Target Actual result Variance Cause Operational effect

Identify whether the variance represents:

  • Performance above target
  • Performance meeting target
  • Performance below target
  • A once-off exception
  • A recurring problem

Discuss significant variances with the workplace supervisor before recommending action.

9. Report Monitoring Findings

Prepare a short monitoring report containing:

  • The activity monitored
  • Monitoring period
  • Measures and targets
  • Actual results
  • Deadline variances
  • Budget variances
  • Customer-service variances
  • Causes and operational effects
  • Matters requiring immediate attention
  • Preliminary corrective recommendations

Submit the report through the organisation’s approved reporting process.

10. Complete Five Monitoring Cycles

Complete and record the activity at least five times.

Monitoring cycle Operational activity Date completed Evidence reference Supervisor signature
1
2
3
4
5

The five cycles may cover different periods, operational activities or supply chain components, subject to workplace availability and supervisor approval.

Required Workplace Evidence

For each monitoring cycle, submit:

  • Relevant operational plan or authorised extract
  • Operational schedule
  • Approved performance targets
  • Monitoring plan
  • Deadline-monitoring records
  • Budget calculations
  • Customer-service monitoring records
  • Variance register
  • Supporting workplace documents
  • Monitoring report
  • Supervisor feedback
  • Completed and signed logbook entry

Confidential organisational information may be removed or anonymised with the supervisor’s approval.
