Lesson 6: Performance Management (KM-08-KT06)

Lesson Outcomes

By the end of this lesson, learners will be able to:

  • Understand the concept of performance management
  • Identify the key functions of management
  • Explain quality management systems
  • Understand continuous improvement and its importance

Lesson Overview

Performance management is about ensuring that individuals, teams, and systems are working efficiently to achieve organisational goals.

In an RPA-driven environment, performance management is not just about people — it also includes:

  • Processes
  • Systems
  • Automation (bots)

The goal is simple:
👉 Do things better, faster, and more efficiently — consistently.

1. The Four Functions of Management

Performance management is built on four key management functions:

1. Planning

  • Setting goals and objectives

  • Deciding what needs to be done

2. Organising

  • Allocating resources

  • Structuring tasks and responsibilities

3. Leading

  • Managing and motivating people

  • Providing direction

4. Controlling

  • Monitoring performance

  • Evaluating results and making adjustments

👉 Plan it → organise it → lead it → check it. Simple, but powerful.

2. Quality Management Systems (QMS)

A Quality Management System (QMS) is a structured system that ensures products and services meet required standards.

Includes:

  • Processes
  • Procedures
  • Responsibilities

Purpose:

  • Maintain consistency
  • Improve efficiency
  • Meet customer expectations

👉 A QMS makes sure you’re not just working… you’re working well.

3. Quality in Performance Management

Quality is not just about the final output — it’s about how work is done.

Key Focus Areas:

  • Accuracy
  • Efficiency
  • Reliability
  • Consistency

High-quality performance leads to:

  • Better results
  • Customer satisfaction
  • Organisational success

4. Continuous Improvement

Continuous improvement is the ongoing effort to improve processes, systems, and performance over time.

Key Idea:

Small improvements consistently applied lead to big results.

Also Known As:

  • Kaizen

Examples:

  • Improving workflow efficiency
  • Reducing errors in processes
  • Enhancing automation performance

👉 It’s not about being perfect — it’s about getting better every day.

5. Continuous vs Continual Improvement

There is a subtle difference:

  • Continuous Improvement

    • Ongoing, small incremental changes

  • Continual Improvement

    • Improvements made over time, not necessarily constant

👉 Continuous = always happening
👉 Continual = happens regularly over time

6. Importance of Performance Management

Effective performance management helps organisations:

  • Achieve goals efficiently
  • Improve productivity
  • Identify areas for improvement
  • Maintain high standards

In RPA Context:

  • Monitor bot performance
  • Optimise automated processes
  • Ensure reliability and accuracy

👉 If you don’t measure performance… you’re just guessing.

Key Takeaway

Performance management ensures that work is:

  • Planned properly
  • Executed efficiently
  • Monitored continuously
  • Improved over time

It is essential for both human performance and automated systems.
